Sales & Commercial Team Compliance Policy

1. Professional Conduct with Doctors & HCPs

1.1 Ethical Promotion of Products

  • All product promotion must be scientific, accurate, and approved by Axcess
    Healthcare.
  • No claims beyond approved product information.
  • All interactions must prioritize patient welfare, safety, and correct usage.

1.2 No Improper Benefits
Sales teams must NOT:

  • Offer or promise cash, personal gifts, or financial incentives to doctors/HCPs.
  • Provide items that may be considered as inducement for prescriptions or purchases.
  • Engage in any activity that may be interpreted as bribery or influence.

Allowed:

  • Scientific samples (as permitted by local regulatory guidelines)
  • Educational materials
  • Product demonstrations.
  • Sponsorship only with explicit management approval.


1.3 Transparent Interactions

  • Sales personnel must clearly identify themselves and the company during all interactions.
  • Maintain polite, professional communication at all times.
  • Never misrepresent credentials, product performance, or competitor brands.

2. Compliance with Government Offices & Tenders

2.1 Zero Tolerance for Bribery
Employees are strictly prohibited from:

  • Offering money, gifts, favors, or incentives to government officials.
  • Interfering with tender processes in unethical ways.

2.2 Tender Participation

  • Follow all guidelines issued by the procurement authority.
  • All documents must be truthful, accurate, and approved by the company.
  • Discussions and meetings must be recorded/reported to reporting managers.

2.3 Meetings with Govt Doctors/Hospitals

  • Only scientifically oriented discussions allowed.
  • No personal gifts, indirect benefits, or hospitality beyond nominal company policy.

3. Interaction With Purchase Personnel (Government & Non-Government)

  • No cash, commission, or unauthorized discounts may be offered.
  • Pricing must strictly follow approved company price structures.
  • All negotiations must be transparent, recorded, and approved by senior management.
  • Strict prohibition of informal agreements or personal arrangements.

4. Conduct with Channel Partners / Distributors

4.1 Fair Business Practices

  • No exclusivity promises without written management approval.
  • Channels must receive equal, non-discriminatory treatment.
  • Zero tolerance for misreporting of sales, stocks, or prices.

4.2 Anti-Corruption
Channel partners must:

  • Adhere to the same compliance guidelines
  • Avoid unethical practices with hospitals or customers
    The company may terminate partnerships for non-compliance.

5. Gender Sensitivity & Workplace Behavior (Field Staff)

5.1 Respectful Conduct

  • No inappropriate jokes, remarks, or behavior.
  • No discrimination based on gender, caste, religion, or background.
  • Safe transportation must be ensured for female employees during field activities.

5.2 Meeting Conduct

  • Meetings must be scheduled at professional venues (clinics, hospitals, offices).
  • No meetings at personal residences or inappropriate locations.
  • Maintain respectful distance, tone, and professionalism.
